EFFECTIVE DATE
This Data Privacy Policy takes effect from 01 July 2024.
DEFINITIONS
For purposes of this Data Privacy Policy & Manual, all terms defined by Republic Act No.10173 or the Data Privacy Act of 2012 (i.e. Data, Personal Information, Sensitive Personal Information, Data Sharing Agreement, etc); including any terms defined or referred to by any implementing rules or regulations issued by the Philippine National Data Privacy Commission shall be understood to have been adopted herein.
DATA PROTECTION PRINCIPLES
All personnel of Getklean adheres to the general principles when collecting, using, disclosing, processing or otherwise handling Personal Information and/or Sensitive Personal Information.
Consent
In accordance with Philippine data privacy laws, an individual's consent is obtained before collecting, using, or disclosing their personal data for any purpose. Additionally, an individual has the right to withdraw their consent with reasonable notice. Only the minimum necessary Personal Data is collected for the legitimate purpose for which it is needed.
Purpose
Personal Data is only collected, used, or disclosed for legitimate purposes that a reasonable person would deem appropriate under the circumstances. If the purposes for which consent was obtained change from the original purpose communicated and agreed upon, a fresh consent is sought.
Before using any Personal Data for a new purpose, all Company personnel ensures that the new purpose is covered under the relevant provisions of this Data Privacy Policy and Manual.
Getklean collects the Personal Data of its clients for the purpose of efficiently rendering services availed by them.
Notification
The Company informs individuals of the purposes for which it plans to collect, use, or disclose their Personal Data before or at the time of collection. If the Company intends to use Personal Data for a new purpose, it provides an updated notification to the individuals.
Correction
An individual may request that the Company correct any inaccuracies in their personal data held by the Company. Unless otherwise required by Philippine laws or regulations, the Company corrects or deletes the personal data as soon as possible, and no later than thirty (30) days from the individual’s initial request for correction.
Accuracy
Reasonable efforts are made to ensure that personal data collected by or on behalf of the Company is accurate and complete. This responsibility extends from the time of collection and continues throughout the period during which the personal data is held or controlled by the Company.
Where the data is more sensitive (e.g. identification numbers, mobile numbers), Company ensures that there are additional testing and checking performed to address any mistakes made during the point of data entry. For example, a second person double checks the records to ensure accuracy.
Security
Personal Data in the Company’s possession or under its control is safeguarded by reasonable security measures to prevent unauthorized access, collection, use, disclosure, copying, modification, disposal, or similar risks.
Company personnel also take note of the following basic guidelines when sending Personal Data:

Before sending a communication (e.g. email, Messenger, other social messaging applications, written or electronic message/attachment) containing Personal Data, the company personnel ensures that the recipient address (e.g. email address, fax number, other details) is correct and matches that of the intended recipient and that the right files are attached prior to sending.

Retention

Company personnel ensures the proper disposal of Personal Data that is no longer needed. Printed Personal Data are shredded, while digital documents containing such Personal Data are permanently deleted.

GETKLEAN INC. collects personal data (including sensitive information, for example: government ID numbers) that is necessary for it to provide clients, business partners or employees with the cleaning services they request, and for managing said requests, and to improve its business.
For client purposes, we collect the name, email address, phone number and mailing address.

Upon receiving the notification, GETKLEAN INC.’s Data Privacy Officer shall immediately convene a Data Breach Response Team to act on the data breach.
COMPLAINTS
If someone wishes to file a complaint about a breach of this Data Privacy Policy & Manual or the privacy principles outlined in the Data Privacy Act of 2012, they can contact GETKLEAN INC. using the contact details provided below. The complainant should provide GETKLEAN INC. with sufficient information about the complaint, including any supporting evidence.
GETKLEAN INC. will forward the complaint to our Data Privacy Officer, who will investigate the issue within a reasonable timeframe, typically 30 days, though it may take longer for complex matters. The Data Privacy Officer will decide on the appropriate steps to address the complaint, which may include discussing resolution options with the complainant, notifying relevant employees involved, and potentially escalating the issue to the President or external legal counsel.
GETKLEAN INC. or the Data Privacy Officer will reach out to the complainant if additional information is needed and will notify the complainant in writing about the investigation's outcome. If the complainant is dissatisfied with the resolution, they can contact the Data Privacy Officer to discuss further or file a complaint with the National Privacy Commission at https://privacy.gov.ph/.
REVISIONS TO THIS PRIVACY POLICY
GETKLEAN INC. reserves the right to update or revise this Data Privacy Policy & Manual, or any part of it, periodically. Everyone is encouraged to review this policy regularly for any changes. If material changes are made, GETKLEAN INC. will notify all affected Data Subjects and obtain their consent before implementing the changes.
